Hold my event on a road
Special events that involve a road closure (full closure or rolling closure) require our consideration through the Local Traffic Committee (LTC) process.
A Special Events Traffic Management Plan (SETMP) must be provided and include the following information:

Event details (time, date, duration, location, expected number of participants and event details (including parade assembly area and route if required)

event classification assessment

in support of the event management, please include Traffic Guidance Scheme (TGS) outlining strategies of vehicular and pedestrian management during road closure. Please assess the requirement for heavy vehicle mitigation as part of the TGS

a Risk Assessment of the event (including traffic management)

Public Liability Insurance certificate of minimum $20 million cover

Schedule 1 form to hold a public assemble (Police approval)

Transport for NSW Road Occupancy application (ROL). This can be conditioned as part of the LTC report

notification and advertisement details (sample letter and online advertisement). This will include local businesses, emergency services and public transport agencies (such as Bus, taxi and trains).
In light of the above, please initiate discussions with Council and allow minimum 3 month notice period upon submission of SETMP. This will allow sufficient time for ourselves and external stakeholders (Police and Transport for NSW) to assess, report and approve the event.
